Automated Application License Compliance
Applications installed versus number actually used
Maximize your application budget and save money when you renew only the application licenses you are actually using!
Background: Most software applications are licensed per installation rather than usage. Simply put, when you install an application on a computer it is counted as a license used even if you never actually run the application.
Problem Scenarios:
(i) Your company has re-purposed 20 older computers from one department to another. New computers were purchased for the first department. On each new computer an already owned copy of the AutoCAD application was installed. However, those older 20 machines also have the application AutoCAD installed. Your company only owns 20 licenses of AutoCAD. Even though the older computers went to a department that does not use AutoCAD your company is still in violation of its AutoCAD license because AutoCAD is installed on 40 computers instead of 20. This type of violation can cost your company more than $100,000 in fines.
(ii) Your organization has purchased 850 copies of Adobe Acrobat. This application has been properly installed on 850 computers. When a new version of Acrobat is released you need to determine how many of the 850 licenses to upgrade. This requires you to know how many of the 850 copies are actually being used, perhaps just within the past 3 months.
(iii) You are budgeting for next year's software maintenance contracts and you need to know how the applications purchased are being used to determine where to spend your budget.
(iv) Cindy needs a copy of Photoshop right way, do you buy a new copy or do you find one that is installed but not actively used and relocate it to her computer?
Solution:
Solving these problems requires you to know:
- What applications are installed
- Where applications are installed
- When applications are being used
SofTrack's Smart Inventory enables you to automatically determine the what, where and when of applications in your environment.
SofTrack's Smart Inventory automatically determines what applications are installed on your computers. There is no requirement of any prior knowledge of what applications are installed at each of your computers!
SofTrack's Smart Inventory will reveal computer-by-computer where applications are installed including version, publisher and where available the application serial number.
SofTrack's Smart Inventory will detect when each application is used. Data collected per application includes the following per computer:
- Computer where used
- Number of times launched (run)
- Most recent time launched
SofTrack's Smart Inventory Benefits:
- Quickly discover where applications are installed but are NEVER used. Unused applications represent an opportunity to save money$.
-
Save money by removing unused application installations. When unused applications are removed you can eliminate spending associated with the maintenance and upkeep of those unused licenses.
- Instead of purchasing additional licenses of applications you already own, simply move those installations by removing them where unused to where they are needed. You save money by simply reorganizing your existing installations!
- Avoid costly penalties and fines for copyright violations that occur when applications are installed on more computers than licensed.
- Know where applications are installed and where applications are used.
Applications that are unused can be removed and/or uninstalled. When you remove unused applications you can reduce the fees paid for upgrade charges and annual maintenance associated with the uninstalled application licenses.
- Know where applications are installed and how often they are used.
Follow up questions might include:
(a) Are applications installed being underutilized?
(b) Do your users require further training in order to use the applications more efficiently or at all?
(c) Perhaps underutilization is due to users relying upon older, unapproved software?
(d) Are there any applications that have not been used in the past 3 months on any computer?
- Drill down to the computer level and discover what applications are being used at each computer. And, discover how often the applications are being utilized.
