SofTrack Managed Assets

Simplifying IT Asset Management : Smart Inventory Import

SofTrack's Lifecycle feature Managed Assets provides comprehensive automated software usage tracking and reporting for your Windows® workstations and terminal servers.

The Managed Assets agent provides idle, active and total usage times of every application users launch throughout your enterprise. This agent has been designed to co-exist with the SofTrack metering agent.

Additionally, Managed Assets includes full hardware and software inventory for each Windows® workstation and server.
SofTrack Smart Inventory Import versus Managed Assets Agent

Existing SofTrack software metering customers can immediately utilize some SofTrack Managed Assets features using their existing smart inventory data. Many reports become available by directly importing smart inventory data.

The following compares SofTrack's smart inventory import data versus what is provided by the managed assets agent:

Smart Inventory Import

  • Does not require Managed Assets license
  • Only usage of Installed Applications as identified by Quick Inventory
  • Only Launch activity, not duration of idle vs active time
  • Can be imported on-demand from the SofTrack Console into SQL

  • Managed Assets Agent

  • Requires Managed Assets license
  • All applications regardless if identified as an installation application
  • Full usage, launch and exit time (per instance), active time, idle time and total time
  • Stored in SQL, once data is received from the workstation, data is transferred to SQL, no flat file storage

  • In addition, for reporting, both methods identify the User and the Workstation for each application activity, and provide for duplicate record suppression. Additionally, both methods include the same data for workstation inventory reporting.

    Managed Entities

Benefits of importing Smart Inventory activity into Managed Assets SQL database

Existing SofTrack software metering customers can import their existing workstation inventory plus smart inventory activity. After import, the following SofTrack Managed Assets reports will be immediately available for all installed applications identified by Smart Inventory:

    Smart Inventory Import

    Application Reports include:

  • Audit Position - Detail per Workstation
  • Audit Position - Summary per Application
  • No Usage
  • User Day
  • Installation and Latest Usage
  • Versions
  • Installation Keys
  • Vendors

  • Workstation Reports include:

  • Workstation Status
  • Workstation CPU
  • Workstation Disk Space
  • Workstation Operating Systems
  • Workstation Timezones

  • The Application Report User Day includes columns that reveal usage details such as exit time and active/idle/total usage time, however, Smart Inventory records do not provide this detail, such activity will include a notation that it was imported via Smart Inventory to assist in identifying these types of records.

    Challenge: Application Categories

Your users utilize a variety of applications, some licensed, some open source, some freeware, some self-developed and other categories.

Having the ability to designate software categories will help you further your Software Asset Management.

    Solution: Software Asset Categories

SofTrack's Managed Assets provides the ability to quickly establish software categories for applications utilized across your organization. In addition to default categories, you can create your own software categories.

    Software Categories

    Software Categories

Once a particular application's software category has been set, it is established for that same application across all Entities. SofTrack's application view includes searchable columns to quickly filter applications by name, including partial name, manufacturer and version, the results can then be selected and the software category can be set (or changed) for the results.

Benefits of using the Managed Assets agent

The SofTrack Managed Assets agent collects a variety of data that enables multiple reports. The reports include all applications opened by users at each workstation/terminal server. Unlike Smart Inventory, the applications reported include all that each user opened, not only those identified as being installed.

    Application Reports include:

  • Audit Position - Detail per Workstation
  • Audit Position - Summary per Application
  • Concurrent Usage
  • No Usage
  • Idle versus Active Summary
  • Idle versus Active Details
  • Short Usages
  • Excessive Idle
  • User Day
  • Installation and Latest Usage
  • Versions
  • Installation Keys
  • Vendors

  • Workstation Reports include:

  • Workstation Status
  • Workstation CPU
  • Workstation Disk Space
  • Workstation Operating Systems
  • Workstation Timezones

  • Bolded reports above are unique to use of the Managed Assets agent.
