Software license renewals are often performed with limited insights. Many times renewals are automatic without regard to actual need. When you are able to quickly review and verify software utilization you will have greater confidence in your software purchase decisions.

Traditionally, software usage detection was limited to finding where software was installed and last time opened. SofTrack's Managed Assets provides a unique technology that provides you with the ability to verify usage. Usage verification includes both single and suite/collections-based applications.

Our unique technology based on our 30+ years of experience ensures utilization of every application from any vendor is always reported. Utilization is detailed by including, per usage, active seconds, idle seconds, and page titles (windows captions) viewed. All user-opened applications are automatically tracked by a light-weight workstation agent. It is light-weight due to its design to always operate in the background, never interfering with the user experience. There is no pre-configuration required. There is no reliance on any third-party reporting or usage event logging from other sources.

SofTrack's Managed Assets Utilization Intelligence report will provide a single line summary detailing the following by selected date range:

The Workstation Name - a user can use multiple workstations. The workstation name is where the workstation agent is installed.
The User name - a workstation can have multiple users.
An Application indicates a single application.

SofTrack's Managed Assets includes user-definable Software Categories that enable normalization on your terms. By combining relevant applications together, you receive reports that provide usage of any number of applications, including suites/collections, that meets your specific requirements. Software Categories can be created and re-assigned at any time, each are used only for generating reports.
The number of times opened value indicates the number of times the user opened the application(s). Multiple applications can be tracked together as a group via Software Categories.
The number of components used value indicates the number of different applications, including different application versions are accessed. For example, if a Software Category is defined for Adobe Creative Suite®, you can quickly learn the number of components within that suite are accessed. The specific list of components (specific applications) accessed is available directly in the report.
The average number of unique page titles value refers to the Windows® Caption shown at the top of each application window including its sub-windows. The light-weight agent detects and records, second-by-second, the name of the currently topmost/active window caption. The window caption, for most applications, provides insight to what the user was viewing. In general, the more unique page titles, the more the application was actively utilized.
The average Active Time per usage value reveals how many seconds the application(s) being reported was actively shown on the user desktop, the topmost application. Please note that an application can be indicated as being active on the desktop when the user is not present. Because of this possibilty, refer to average number of page titles. By observing the active time combined with the average number of page titles you receive greater insight into how actively enaged the user was with the application.
The average Idle Time per usage value reveals how many seconds the application(s) being reported was not the topmost application on the user desktop. Idle time also indicates when the workstation is locked or a screen saver is engaged. Even if an application is the topmost on the user desktop, it is counted as being idle during the period when the workstation is locked or a screen saver is active. SofTrack's Managed Assets workstation agent separately tracks when the workstation is locked/screen saver active.

Our always on technology continuously journals all user activity including the lack of activity as shown by idle applications. When a network connection is available, detailed user activity journals are automatically uploaded to a server you control. Once uploaded, the journals are processed by a server agent into SQL Server® for reporting.

Gathering of User Activity

An easy to install workstation agent that requires no configuration and no active network connection to fully operate and journal all user initiated activity. Our low-impact design typically does not require white-listing in your endpoint protection system.

Our administrator interface is used to create an MSI for installation of the workstation agent. The resulting agent installation does not appear in the list of installed applications.

The activity journals from each workstation/client will automatically be uploaded to your self-hosted cloud or on-premise server (via IPv4 or Named Pipes). The journal files can also be emailed or manually copied, providing comprehensive methods to ensure your data is always collected and reportable.

The administrator interface does provide the ability to create reporting locations (entities) for each MSI. These entities are utilized to determine the SQL database to be user for activity journals.

This unique functionality enables simple division of records by any determination you create. For instance, geographic, personnel classification, sub-contractors, and so on. The MSI entity configuration can be changed or updated as needed at each workstation. Reporting includes the ability to combine entities to achieve an overall enterprise view.
